Geofence clock-in & clock-out for home care
Paper timesheets and honor-system time clocks can't answer the question every agency owner, payer, and surveyor asks: was the caregiver actually there? CareGeo answers it at the moment of the punch — caregivers clock in and out only inside a GPS boundary around the client's home.
How it works, step by step
- When you add a client, their home address gets a geofence — a configurable radius (default 90 m) around its exact coordinates.
- At the visit, the caregiver opens the CareGeo app and taps Clock In. The app checks GPS and shows “In range” with the distance before accepting the punch.
- The punch is stored with its coordinates, timestamp, and GPS accuracy as part of the visit's EVV record.
- Out-of-range or suspicious punches (like duplicate coordinates) become EVV flags on your dashboard for review — approved or corrected before payroll and billing.
- Clock-out works the same way, closing a visit record that holds the whole story: location proof, tasks completed, medications given, notes, and the drive miles.
What is geofenced clock-in for home care?
A geofence is a virtual GPS boundary drawn around each client's home. Caregivers can only clock in and out from inside that boundary, so the punch itself proves the caregiver was physically at the visit — no honor system, no buddy punching.
What happens if a caregiver tries to clock in away from the client's home?
The CareGeo app shows they are out of range and the punch is flagged. Out-of-range and duplicate-coordinate events surface on the agency dashboard as EVV flags for review and approval, so nothing questionable slips into billing.
Does geofenced clock-in work without cell service?
Yes. The CareGeo caregiver app is offline-first: GPS punches are recorded locally with their coordinates and sync automatically when the phone reconnects — built for rural routes.
Is a geofence time clock enough for Medicaid EVV?
A generic geofence time clock is not. Medicaid EVV under the 21st Century Cures Act requires six data points (service type, individual receiving service, date, location, caregiver, and start/end time) and state aggregator reporting. CareGeo captures all six and supports aggregator exports — the geofence is one layer of a full EVV record.
Can the same app track mileage between visits?
Yes. The same CareGeo app that verifies the visit tracks driving mileage — GPS-tracked or manual — and routes it through approval to reimbursement by pay period. One app instead of a time clock plus a separate mileage tool.
Why not just use a generic geofence time clock?
Generic geofence time clocks verify location — and stop there.
